Case study: building an AI-powered membership engine that scales confidence, not admin

The challenge
I set out to help Australian women go from AI confused to AI confident, one week at a time. But there was a problem hiding in plain sight. A membership that supports women properly, welcomes each one, tracks her progress, celebrates her wins, and never lets her fall through the cracks, is a huge amount of admin. Do it by hand and it does not scale past a handful of people. Automate it badly and it feels cold, which is the opposite of what these women need.
That challenge grew bigger because of a promise I made. For every ten paying members, AI Pocket Rocket gifts one free Good Karma Seat to a worthy woman who might not otherwise get a seat at the table: a not-for-profit worker, a purpose-driven business owner, or someone in need within the community. It is not charity. It is belonging. But it also means my system has to welcome and support gifted members exactly as warmly as paying ones, with no shortcuts.
I had a choice. Trade my hours for member numbers, or build a system that delivers a warm, personal experience automatically. I chose to build.
What I built
Two connected systems sit at the heart of AI Pocket Rocket.
1. The membership automation engine. Using Make.com as the connective tissue, I built an end-to-end workflow that links ThriveCart and Stripe (checkout and payment), a Jotform capability check that every member completes after joining, Mailchimp (email journeys and reminders), a Notion prompt vault, and ElevenLabs (audio versions of the weekly newsletter). When a woman joins, the system tags her correctly, starts her journey, welcomes her, calculates her renewal date, and handles trials, cancellations and payment issues, all without me lifting a finger. Good Karma Seat recipients enter through the same checkout with a $0 coupon, so they get the identical warm welcome as paying members.
2. The AI Confidence Tracker. This is the part I am proudest of. Instead of guessing whether the program works, I built a check-in system that maps each woman's AI confidence from the day she starts and captures her growth over time. The next phase (planned for when we reach 100 members) will connect it to the Anthropic API, so each woman receives a toilored learning materials based on their assessed AI Capability. So it meets them where they are at and builds their AI Confidence from there.

The full delivery stack
Beyond the AI and automation engine above, members are supported through a complete delivery stack: Loom for instructional videos, a private Facebook Group for the community, and Zoom for the monthly live Q&As. Payments run securely through Stripe.
A focus on ethical, sustainable and human-centred AI
Every part of this was built on three commitments. Ethical AI: the system is transparent about how member data is used, and privacy is protected. Sustainable AI: I favour a focus on more sustainable AI tools and practices, choosing efficient options and minimising wasted processing. Human-centred AI: automation handles the admin, but a human stays in control of the decisions that matter. I oversee the system, plan the program, develop the teaching materials and newsletters, approve every Good Karma Seat, and share AI skills directly with members. The technology amplifies the warmth. It never replaces it.
The result
The engine is live and running the membership today. It means I can give every member a genuinely personal experience while the admin runs itself in the background. It is designed to support the first 1,000 women without breaking, and to grow with the mission from there.
This is the whole point of AI Pocket Rocket. I do not just teach women to use AI. I use it myself, in the open, to build something better for them. If I can build this, imagine what becomes possible for you.

A note on what is live vs planned
Everything described as built in the AI-powered membership engine is running now, in Phase 1. The Anthropic API personalised snapshots are planned for Phase 2, once we reach 100 members. Member outcome data (time saved, confidence gains) is being gathered through the capability check and ongoing check-ins, and will be added here as it lands.
